Data Retention is the process of eliminating sensitive data from the e-satisfaction stored data to avoid unwanted access.
To avoid deleting data, which will result in breaking data connection and might set your data useless, we have a process of anonymization.
Instead of deleting the data, we transform them, using an one-way hash function, to a non-readable value. This way we both eliminate sensitive data and you keep your data connected.
You can setup your Application-level Data Retention on the Settings section, on the Data Retention Panel:
You can choose to anonymize data based on their age. By activating the Anonymize feature, you should be able to select, in months, the age of the data to be anonymized:

We anonymize data based on their settings. The Data Retention setting in the Application is the master switch that controls all the following:
Queue Items
Metadata Values
Campaign Data
Queue items that are older than the selected time period (by time updated) will anonymized.
NOTE: Only the responder_channel_identifier field will be anonymized.
Metadata values that have the anonymized option enabled and belong to questionnaire instances order than the selected time period (by time updated) will be anonymized.
The Campaigns that collect data (Callback Request, Refer a Friend) have an extra setting to enable or disable data retention:
Your data, besides the core e-satisfaction storage where they are primarily stored, are also transferred to e-satisfaction's Data Warehouse, which enables a series of services including: power reporting, text analytics and different breakdowns.
Data Anonymization affects the data stored in every different storage place in e-satisfaction, including our own Data Warehouse.
We sync daily our data between our primary storage and our Data Warehouse. Once the anonymization is applied, the anonymization will also be applied to the Data Warehouse, with the same delay.
Based on your data integration, you might need to adjust your ETL/ELT process to make sure you keep your data in place (and they are not replaced or anonymized).
ATTENTION: Immediate anonymization does not store plain data in the Data Warehouse, which means that original data are not retrievable in any way by you.
If you have access directly e-satisfaction Data Warehouse for your own reporting needs, the data will be anonymized. To keep the data intact, you will need to keep your own backups (fair use policy applied).
If you keep the data into your own Data Warehouse, and we are pushing the data to you, this depends on the sync policy.
Incremental Sync
In case we perform an incremental sync, you should get data that are not anonymized, so no action is required on your side here.
Full Sync
In case we perform a full sync, this means that on every new sync, some data will be anonymized, based on the retention period. You will need to keep a backup of the data, if you want to maintain the original data.
